The short answer
Roofing appointments no-show when the homeowner booked on impulse, forgot, wasn't the decision-maker, or found another roofer first. Cut no-shows by booking within a day or two, texting a confirmation right away, reminding the day before and the morning of, making sure every decision-maker will be there, and calling ahead when you're on your way.

Few things kill a salesperson's afternoon like driving 40 minutes to a house where nobody answers the door. No-shows cost the drive, the time slot and a little of your team's faith in the calendar.
Most of them can be prevented. Here's why they happen and what to do about it.
Why homeowners no-show
No-shows rarely mean the homeowner was never interested. More often it's one of these:
- They booked on impulse. They filled out a form late at night and the urgency faded by morning.
- They forgot. The appointment was a week out and nothing reminded them.
- They weren't the decision-maker. Their spouse wasn't on board, so they didn't bother being home.
- Another roofer got there first. Especially after storms, or when the lead was shared with other companies.
- The appointment felt optional. Nobody confirmed it, reminded them or told them who was coming, so skipping it felt harmless.
- They didn't know what to expect. Did they need to be home? How long would it take? Would someone go on the roof?
Each of these has a fix.
Book it soon
The biggest single factor is the gap between booking and the appointment. An estimate booked for tomorrow afternoon feels real. One booked for next Thursday is easy to forget or replace.
Offer the soonest times you have, and offer two specific choices ("Tuesday at 2 or Wednesday at 10?") instead of an open question. If your calendar is booked out more than a few days, that's a sign to add capacity before adding more leads.
Confirm it right away
Send a confirmation text the moment the appointment is set, while the homeowner is still on the phone or just after. Include:
- The day and time
- Your company name
- The name of the person coming out
- What to expect (about how long it takes, whether they need to be home, whether anyone will go on the roof)
- An easy way to reschedule
Something like: "You're all set for Tuesday at 2:00 PM. Mike from Acme Roofing will come out to inspect the roof, usually about 45 minutes. Both of you being there helps. Need a different time? Just reply here."
Remind at the right times
Two reminders do most of the work:
- The day before: a short text with the time and a request to reply to confirm.
- The morning of: a quick reminder with the time and the name of who's coming.
When someone replies to confirm, you know the appointment is solid. When nobody replies, give them a call before you drive out.
Automating these with your CRM or scheduling tool means they go out every time, not just when someone remembers.
Get every decision-maker there
"My husband wasn't home" is both a no-show risk and a close-rate killer. Ask about decision-makers on the first call (we cover how in how to qualify a roofing lead) and book a time when everyone can be there, even if it's a few days later. An appointment with both decision-makers is worth more than two appointments with one.
Make it easy to reschedule
A homeowner who can't make it will either reschedule or disappear, and which one depends on how easy you make it. A reschedule link in the confirmation text, or simply "reply here to change the time," turns a lot of would-be no-shows into moved appointments.
A moved appointment is a win. Treat it that way. When someone reschedules, send a fresh confirmation for the new time and restart the reminder sequence, so the new appointment gets the same protection as the first one.
Remove friction from booking
If homeowners book themselves online, every extra step loses people and adds uncertainty. Booking tools that require an account, a verification code or a credit card before showing available times turn away many of the people who were ready to book.
Keep self-booking simple: show available times right away, ask for only what you need, and handle the rest on a quick confirmation call.
Call ahead when you're on the way
A 30-second call or text when you're heading out does two things. It catches the homeowner who forgot, and it gives someone who can't make it a chance to say so before you drive. "Hi, it's Mike from Acme Roofing, I'm about 20 minutes out. Still good?"
What to do when someone no-shows
- Wait 10 minutes and knock once more.
- Text right away: "Hi Sarah, it's Mike from Acme Roofing. I'm at the house for our 2:00 inspection. Everything okay? Happy to find another time."
- Call later that day and offer two new times.
- Follow up over the next few days if they don't respond, then move them to a longer follow-up list.
Keep it friendly. Plenty of no-shows are people who got pulled away and are glad to rebook.

What to say on a confirmation call
When a homeowner doesn't reply to the day-before text, a 60-second call usually settles it:
"Hi Sarah, it's Mike from Acme Roofing, just confirming tomorrow at 2 for the roof inspection. Will everyone who's part of the decision be there? ... Great. I'll text you when I'm on the way."
If they hesitate, offer a better time on the spot instead of letting a shaky appointment stand. A confirmed Thursday beats a doubtful Tuesday.
Don't overbook to cover no-shows
Some teams book extra appointments to make up for the ones that won't show. It backfires. When everyone does show, salespeople rush appointments, arrive late or cancel on homeowners, and rushed estimates close at lower rates. Fix the show rate with booking speed, confirmations and reminders instead, and book the calendar you can actually handle.
Track your show rate
Show rate is booked appointments that actually happened, divided by all booked appointments. Track it weekly, and by lead source if you can. If one source has a much lower show rate, the problem might be lead quality, or how those leads are being booked and confirmed.
